We are looking for an Accounts Payable Assistant to join our Finance team and work closely with them on ensuring we have an efficient Accounts Payable function.
What you'll be doing
We pride ourselves on creating challenging and exciting opportunities, meaning that no two days are the same. However, here's an idea of what your responsibilities will look like:
Owning the Accounts Payable Process: In this role, you’ll be responsible for managing our dedicated email account to which all supplier invoices, queries and process requests will be sent. You’ll need to take ownership of processing these, ensuring that all relevant invoices are approved and submitted into Maconomy. You’ll need to have an eye for detail and be able to spot any issues or errors with supplier invoices. You’ll take the lead on communicating readily with our suppliers, keeping them informed on payment dates and any queries they may have.
Processing Employee Expenses: SMG has recently rolled out an app-based expenses system, you will have complete ownership of this software and the expenses process. You will need to quickly become an expert in the software and use this expertise to resolve any issues or queries, and provide training to new employees. You will also be responsible for preparing spreadsheets for import into both our accounting system and banking portal, ensuring both are done to a high degree of accuracy.
Adding Efficiencies to Processes: With the company growing rapidly, we would like someone to join our team who could challenge the current processes in the accounts payable function and suggest efficiencies and automation to it. This will be a vital part of the role.
Team Support: You’ll work closely with your Line Manager and the wider Finance Team to help with the smooth running of the department and all its processes. You’ll help to produce ad-hoc reports and payment summaries as and when required, along with helping generate templates and instructions to guide employees on all the key processes across SMG.
Contribution to Organisational Projects: Our ambition is to create a company that everyone would like to work for. Whether it’s supporting our training and development efforts, getting involved in our PR and marketing agenda, or helping us find the next generation of talent for our business, our expectation is that you’ll get stuck in and help us to build an outstanding business.
What you'll need to have / be
We’re looking for someone who has had experience and exposure to accounts payable procedures in a previous role, with the ability to apply their analytical skills to each task and be comfortable with solving problems. Being able to demonstrate great attention to detail and accuracy day-to-day is hugely important, and we’d like to see a proficient level of Excel expertise and know-how. Day-to-day, we use Maconomy as our accounting programme, so any exposure you have had with similar pieces of software would be an advantage.
Some of the key traits and behaviours we look for are:
Dependable and Organised: As we work in a fast-paced environment, you will need to be able to work to a consistently high standard, ultimately leaving no room for mistakes and ensuring you stay on-top of your to-do-list.
Teamwork & Communication: We are always working with multiple stakeholders, whether that’s internal or external, so being able to communicate and spark progress is key. You will need to be able to communicate and collaborate across all teams.
Ownership: You will be given a huge amount of responsibility from day one. You will need to develop a strong understanding of your areas, look for improvements, and have confidence in your recommendations. The efficiency of these processes will rely heavily on your ability to own and develop them.
Great Chemistry: We’re looking for someone who can get stuck into SMG life. You need to be able to build great working relationships with those around you, and we hope you like a bit of fun around the office!
